1. Who we are
Hello Leuven operates a multilingual student housing marketplace for KU Leuven in Leuven, Belgium. We are responsible for how personal data is handled when you use this website. This policy explains what we collect, why, and your rights. We do not sell personal data.
2. Data we collect
Depending on how you use the site, we may process: name, email, nationality, faculty, and message content when you send an inquiry; landlord contact email, property details, photos, and listing access credentials when you submit or manage a listing; your language preference stored in your browser; property addresses for geocoding and campus proximity; listing title and description text sent for automatic translation; technical data such as browser type and IP-related logs via our host; and analytics data such as pages visited, site interactions (for example listing views or list-property steps), referrer, and campaign parameters (for example utm tags or fbclid) via our analytics tool.
3. How we use your data
We use data to display and moderate listings, connect students with landlords, send transactional emails (inquiries, listing status, and platform notifications), translate listing content into multiple languages, geocode addresses, measure how the site and marketing perform, improve our service, send optional marketing communications to landlords who opt in, and comply with legal obligations. We do not sell your personal data.
4. Storage, processors & security
Listing, inquiry, and landlord data are stored in Supabase (database and image storage). The site is hosted on Vercel. Email is sent via Resend. Listing text may be processed by DeepL for translation. Addresses may be geocoded using OpenStreetMap Nominatim. Usage analytics are processed by PostHog (EU region). These providers process data on our behalf to run the service. We apply reasonable technical and organisational measures but cannot guarantee absolute security over the internet.
5. Cookies & analytics
We use PostHog for privacy-conscious usage analytics (EU hosting). It may store cookies and/or local storage to recognise your browser and measure events such as page views and form progress. We do not use session replay. We do not send inquiry message content, emails, or passcodes to PostHog. We also use Vercel Speed Insights for aggregated performance data. You can limit analytics via your browser cookie settings, tracking protection, or by contacting us. Campaign tags in the URL (for example from ads) may be stored to attribute visits.
6. Your rights
Under the GDPR and Belgian law, you may request access, correction, deletion, or restriction of your personal data, object to certain processing (including analytics where applicable), and withdraw marketing consent at any time.
